Dear NEACUHO Corporate Partners, Associates and potential Exhibitors:

Please download the above information packet in its entirety so you are able to complete your registration fully for the 2008 NEACUHO Conference in Westfield, Massachusetts. Enclosed you will find a welcome letter, the registration form, conference sponsorship information, the schedule of events and a check-list to prepare you for your time at Westfield State College.

In addition, you will find a “Frequently Asked Questions” section below.  Please consider adding this site to your favorite’s list on your computer so you can check back to see any updates about the conference.

EXHIBITOR FAQs

  • When is the deadline to register for the Exhibit Hall?

    The exhibit hall registration deadline is May 16, 2008. If all booths are filled before that time, a waiting list will be generated. If you would not like to be wait-listed, your registration materials and any fees sent will be returned to you.


  • Why do you want to know if we are a New or Returning Exhibitor?

    NEACUHO prides itself in taking the time to create lasting partnerships with our exhibitors. If you are a returning exhibitor, we want to make sure you are recognized as a supporter of our organization.  If you are a new exhibitor, we want to make sure you feel welcomed into our organization.


  • How many booths may I reserve ?

    Booths may not be “reserved” unless you are a Corporate Partner. All payments must be paid in full and a certificate of insurance provided to confirm your participation in the conference. While there is no limit to the number of booths per exhibitor, most participants choose 1 or 2 booths.


  • Can I charge my registration and sponsorship fees with a credit card?

    Unfortunately, we are not set up to accept credit card payments for the conference. Please mail a check or money order with your registration materials and certificate of insurance to confirm your participation.


  • How many representatives may I have in my booth?

    The average number of representatives per booth is 2-3 people. We believe you know the best formula to promote your company/product and can plan accordingly. Should you need additional space to register more than 4 representatives, please add an additional sheet to your registration materials. 


  • How do I become part of the NEACUHO Corporate Affiliate Plan?

    While our Corporate Partner program is limited to 6 per year and we have reached our capacity at this time, it is almost time for renewal for 2008-2009. Please contact our current Corporate Relations Chair, Jeff Horowitz at jhorowi@binghamton.edu. He will be able to provide you with more details. In addition, a visit to our NEACUHO website at www.NEACUHO.org will help.


  • What if I am not sure about attending the conference?

    Well, booth space at the NEACUHO conference is limited to 45 spaces. There is no overflow space this year. Your company or organization will have a prime opportunity to interact with our 200-240 delegates in a well-trafficked, air conditioned location that is the site of a number of conference activities. It is important to make a quick decision about attending so you don’t miss out.


  • What meals are “part of the exhibitor package”?

    Each booth receives 4 standard meal tickets for Thursday, June 5. They may be used for either breakfast or lunch on that day. Information for meal tickets for the Opening and Closing Banquets and Thursday evening’s buffet are listed on the registration form. If you need more tickets for breakfast and/or lunch, you may order them on the registration form as well. Please note: If you have special dietary needs, please indicate that on an attachment sheet to the registration form for each individual in your group.


  • Do exhibitors usually attend the Opening or Closing banquets?

    A number of our Corporate Affiliates attend these events as well as some of our early arrival exhibitors. This is a prime opportunity to network with our membership while enjoying a delicious meal on campus.


  • Should I live on campus during the conference?

    While the decision is up to you, the 2008 NEACUHO conference would love to have our Corporate Partners, Associates and Exhibitors join us in our “on-campus” living experience. The apartment style, air conditioned building is conveniently located to all aspects of the conference including the exhibit hall. Please note: Space is limited so, if this interests you, please make your reservation today.


  • How far away is the “conference hotel”?

    The hotel is located in West Springfield, Massachusetts approximately 30 minutes away from Westfield State College.


  • Can you explain the electrical service in more detail?

    Sure! Each booth has the capability of having one outlet provided to it. In order for us to do this, we need it listed on your reservation in advance. You may bring a power strip to expand this service and will also need to bring an extension cord since the outlet will be stationary feeding more than one booth. If you need a dedicated line for your booth because of the nature of your service, please let us know, as well.


  • What if I don’t need the furniture you provide?

    Please indicate that it is not needed on your registration form. If you do not circle “NO” on the form, a table and two chairs will be provided for each booth.


  • What if I would like to sponsor something that is not listed on the “Annual Conference Sponsorship List”?

    Please contact Kathi Bradford, Exhibit Hall Coordinator, at kbradford@wsc.ma.edu to discuss your idea.
